Travel planning over coffee

If you want travel to feel exciting instead of overwhelming, it starts with a shift in perspective. In the world of premium travel, the most personalized experienced, the "coveted suites", the villas in Tuscany or Amalfi, or space on small ship expeditions are often claimed 12 to 18 months in advance.

To secure what you want, and not what is left available, you don't need every detail. You just need a framework (that’s my marketing strategy background coming in!)

The truth? Most people stall because they try to plan everything at once - flights, hotels, activities, budgets before they've anchored the trip itself. But once you have your anchors in place, everything else becomes a decision, not a dilemma.

Star with Your Three Anchors

Planning complex travel involves many steps but before you start building a travel itinerary, start by setting clear goals.

1. The WHEN (The 18-Month Timeline Anchor)

  • In luxury travel, the 12-18 month window is the gold standard (NOTE: luxury is personal)

    • Secure the Scarcity: Confirm your school or work calendar now before destinations, before pricing, and before Pinterest. Plotting your future time off for a trip 18 months out is the only way to ensure you aren't choosing from "what’s left" later. This is especially important for those milestones trips and multi-gen trips where the most desired space is scare.

    • Anchor your PTO: Block your time now, even if trip details shift. After years of managing teams, I saw far too many people lose their most valuable asset, their time because they didn't protect it early or they simply got to busy working to use it.

2. The WHY (Your Intention Anchor)

  • Decide your travel style for the year: Do you want easy and familiar, or new and immersive? More rest, or more exploration? Most importantly, how do you want it to feel?

  • This one question simplifies everything that follows, from where you go to how you spend your days.

3. The WHERE (Your Destination Anchor)

  • Pick two trips for the year. These are your big rocks such as a summer vacation, a milestone trip, a river cruise, a meaningful family experience, etc.

  • Everything else (weekend getaways, spontaneous adventures) fits around these trips.

The Budget Reality: Defining the Range

Then set a rough budget range. Not a detailed spreadsheet. Just a range. Knowing what feels comfortable upfront saves time, stress, and second-guessing.

In my experience, I have seen people avoid setting budgets because they are working with incomplete information. Maybe you see a river cruise and think, there’s no way. Or maybe you’ve been dreaming about a certain destination but assume…”That’s probably out of our range”.

Here’s what I have learned doing this so far: You don’t know what you don’t know.

That "all in" trip price that gave you sticker shock? When you add up all of the details on a DIY trip -- flights, hotels, transportation, meals, excursions, gratuities, travel protection, in-destination support and all those little extras you don't think about, you could easily spend that anyway.

Plus, most people don't know what things actually cost. You might have sticker shock at one number, or assume something is out of reach when it isn't.

The Strategy: There are multiple ways to create almost any experience. Private tours vs. small groups. Luxury resort vs. charming boutique. Direct flights vs. one connection. Every choice adjusts the budget. That's exactly what a budget range helps me do: show you the options and let you decide where to splurge and where to save vs itemizing every trip component. Having a budget range allows me to show you where to splurge for impact and where to save for value.

That's it. No bookings required yet. Just clarity.

Think of this as your essential travel planning strategy, the foundation that makes everything easier. Whether you are a DIY planner or you prefer the white-glove service of a professional advisor, these anchors help guide every decision that follows.
